Information we hold about you

When we collect information about you, the personal information we retain may include:

Account Applications

When you apply to be a customer of Roger la Borde, you will be required to provide information on an Account Application Form. Usually this will be done digitally through our website, with one of our staff, agents or representatives in the field or at a trade fair filling in a paper form or entering your information into an ordering system on a handheld device or by you sending a fax or email to us with the required information.
If your account application is approved, data from Account Applications will be entered into our Accounting and Customer Management system. Customer Account data may be transferred to our agents and representatives so that they can service your account. We use a third-party sales management and ordering system provided by Aspin Management Systems to gather and distribute customer account information. Aspin Management Systems have a written Data Protection Policy devised to comply with GDPR. We can supply this policy if requested. Customer account data may also be transferred to our trade website so that you can order online. Personal information including contact name, email and communication preferences may be transferred to a third-party provider so we can send you special offers, marketing information, product news and details of events. You can unsubscribe from email marketing and information at any time.

Leads and Potential Customer Enquiries

When you ask to be sent information about Roger la Borde's products we will ask for contact information to enable us to send you samples, catalogues and email marketing. Potential customers may request information via email, telephone or at trade shows. At trade shows we may collect data through a third-party lead-capture service provided in agreement with the trade show organizers. We can supply details about these providers and the respective shows they operate at. Leads and Customer enquiries will be entered into our enquiries database and may be shared with our agents or representatives so that they can follow up on your enquiries. We use a third party provider, MailChimp to store contact details and to publish our email marketing campaigns, email newsletters, notices and invitations to events. MailChimp has a very rigorous management of subscriptions to mailing lists. You will be able to unsubscribe at any time either by clicking unsubscribe at the bottom of every newsletter or e-shot or on MailChimp's website where you can manage the information that is stored about you. People who email us

Any email sent to us or any member of the Roger la Borde staff will be automatically stored on our mail servers at Roger la Borde and those of our e-mail service provider which is currently Google. Please be aware that you have a responsibility to ensure that any email you send to us is within the bounds of the law.

Visitors to our website

When someone visits rogerlaborde.com, we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. This information is only processed anonymously.

We use cookies to track visitors to our websites to help us tailor the content and features to your interests and preferences. We sometimes link our websites and social media to other relevant sites. Job applicants, current and former employees

When individuals apply to work for us, we will only use the information they supply to us to process their application and to monitor recruitment statistics.
Once a person has taken up employment, we will compile a file relating to their employment. The information contained in this will be kept secure and will only be used for purposes directly relevant to that person's employment. Once their employment has ended, we will retain the file in accordance with the requirements of our retention schedule and then delete it.

The security of your information is very important to us. To prevent unauthorised access, accidental loss, disclosure or destruction of data, Roger la Borde's computers and servers are behind firewalls, protected by anti-virus software and backed-up regularly. Our servers are only accessible to members of Roger la Borde's staff using complex passwords that are changed monthly. All the online services we use in relation to the transfer and storage of data are protected by complex passwords.

How we share your information

From time to time we may send information to, receive information from, or exchange your personal information with:
  • other parts of the Roger la Borde group to enable us to deliver our service to you and to allow us to manage our business;
  • partners, representatives or agents who support us to deliver our products and services to you; or that we refer you to, or that refer you to us;
  • companies who perform essential services for us;

  • the emergency services in the case of accident or emergency;

If the business is reorganised or sold to another organisation, we may transfer any personal information we hold to that organisation.

International Transfers

Some of the companies we use for online services like hosting our website, storing our email or maintaining and publishing our email lists may use data-stores that are outside the UK and/or the EU. This means that your data may be transferred and stored internationally. If you are based outside the EU / UK data may be transferred between the UK and the territory in which you are based. How long we keep your information

Where you have set up a customer account with us we will keep your personal information only for as long as necessary to administer the accounts you have with us in line with regulatory and legal requirements, and will remove all personal information relating to it when you no longer have a customer relationship with us and all regulatory requirements to hold the information have expired.
Where you have enquired about our products or subscribed on our website we aim to only send you information and marketing about our events, products, services and subscriptions for a maximum of two years unless you have become a customer of ours, are actively engaged with the communications we send you or tell us you still want to hear from us. When we remove you from our subscription list we will also, where possible, remove your personal information from our databases and any that we control on third-party providers. Please note, we may need to maintain some element of personal information on our servers or those of our email marketing providers to manage unsubscribes and re-subscriptions and ensure that we don't send emails to someone who has already unsubscribed from our mailing lists.
